Committee Appointments

Budget Committee

Campus Council shall maintain at all times a Budget Committee which shall be responsible for all budgetary concerns related to the total allocation for all chartered organizations. Campus Council distributes the funds allocated to it by the College each year. Any chartered organization is eligible to apply for funding, unless stipulated otherwise in the organization's charter. Specific budget guidelines are to be found in the Campus Council By-laws.

How to Receive Funding

Campus Council has six “umbrellas” committees who review budgets and funding proposals from the various categories of student organizations. Each “umbrella” submits its funding recommendations to Campus Council. Campus Council then reviews the recommendations and approves allocation amounts for each umbrella. It is possible that the umbrella will need to adjust its recommendations to match the Campus Council allocation.

Funding Guidelines

  • All charted student organizations which also have a current Advisor Contract on file with the College are eligible for funding
  • Priority will be given to activites held on-campus as they have the optium opportunity for students to participate but some funding is available for off-campuse activites
  • Items primariy for personal use (t-shirts, meals, refreshments at regular meetings, etc) will generally not be funded)
  • Political activites can not be funded
  • Alcohol will not be dunded
  • Equipment and other durable goods expected to have multi-year use by the organization are eligibel for funding. With the expectation that it stays on campus and is used by the orgnaization.
  • Mileage can be computed using the College's approved mileage rate or a lesser amount at the discretion of the organization.

Process

Each year the Campus Council Budget Committee will prepare materials for requests and establish the timetable for submission, and appoval of budget requests. Generally, requests will ask for prioritized items for the next year, expectations of revenues for the upcoming year and a recap of budget activity in the current academic year.

Each Umbrella will schedule an interview with each student organization applying for funds. The umbrella will determine the details of the interview.

 

Campus Council recognizes that budgets are extimates, groups can spend more on specific budgeted items under the following requirements.

  1. The budget must be adjusted so total expenditures do not exceed the amount of its approved Campus Councilo allocation
  2. The expenditure is less than $100 or 20% of the organizations budget, which ever is lower.
  3. If the expedniture is more than $100 or 20% of the budget, prior approval of the Campus Council budget committee is required. In these cases, the student organization must explain the reasons for the unanticipated expenditurea nd indicate how the budget will be adjusted in response to this new expense
