Student Organization Handbook
Student Organization Accounts with the Business Office
An organization may open an account in the Business Office. The organization
will then be assigned an account number which can be used to charge goods
and services at any location on campus as well as request checks to be
written from the organization for specific purposes. It is important
for the organization to limit the number of people who have access to
the account number. Equally important is to keep sufficient funds in
the account to pay the costs of organizational expenses. Deposits may
be made to the account at the Financial Services Center located in the
Wilson Bookstore. For more information on setting up an account, contact
the Business Office (x2018).
BUDGET TIPS
An organization will operate more efficiently if you establish a budget.
Here are some steps to help an organization prepare a financial plan.
- Read previous budgets as a whole group.
- Brainstorm ideas for activities the group would like to sponsor.
- Prioritize activities as to which would be the wisest expenditure
of funds.
- Investigate the cost of each program.
- Determine the organization's available funds: cash on hand, funds
in the bank, dues, fund-raisers, donations, or possible income from
programs.
- Define needed expenses: advertising, office costs, transportation,
rentals, performers fees
- Determine which activities are financially possible, set the budget
and stick to it!
- Monitor expenditures relative to the budget. Explicitly discuss and
approve deviations from the budget.
- A budget is a guideline. It can be changed to reflect changes in
plans. However, it must stay balanced in income and expenditures.
